Activity Facilitator

Project: International Stress & Trauma Sensitive Healthcare Programme in Post-Conflict and Crisis Contexts (ISTHP) Project

Location: Duhok, Kurdistan Region of Iraq (KRI), with travel to other areas

Duration: 3 years and 7 months (contract renewed every 6-month based on performance appraisal)

About Us

Lotus Flower is a non-governmental organization dedicated to empowering vulnerable women and girls to live in safety, access opportunities for learning, achieve financial independence, and lead change within their communities. The organization operates safe social spaces within refugee and IDP camps, delivering integrated programs that support recovery, resilience, and sustainable livelihoods.

The organization currently manages multiple women’s centers serving IDP, refugee, and host communities across the Kurdistan Region of Iraq. Its programming aligns with the priorities of the United Nations 2030 Sustainable Development Goals and is structured around four core pillars: Health and Safety, Education and Livelihoods, Peacebuilding and Human Rights, and Climate Change.

Through a community-based and survivor-centered approach, Lotus Flower delivers services including livelihood training, language and digital skills development, mental health and psychosocial support (MHPSS), health and fitness activities, and awareness raising on gender-based violence and women’s rights. The organization prioritizes local ownership by employing and empowering women from within the communities it serves.

Background

The Lotus Flower is implementing the ISTHP project in the Kurdistan Region of Iraq in partnership with medica mondiale. The project aims to strengthen stress and trauma sensitive practices in the health sector through capacity strengthening of health professionals, strengthening partner networks, and advancing coordinated advocacy efforts.

As part of the project team, the Activity Facilitator will play a key operational role in supporting the effective delivery of field-level activities and ensuring smooth coordination of trainings, meetings, and stakeholder engagements.

Position Purpose

The Activity Facilitator will support the day-to-day implementation of ISTHP project activities on the ground, ensuring that all logistical, administrative, and coordination aspects of trainings, workshops, and meetings are effectively organized and delivered. The role will act as a key link between beneficiaries, trainers, and the project team, contributing to the timely and efficient execution of activities.

The position will ensure that beneficiaries are properly informed and mobilized, attendance and documentation processes are maintained to a high standard, and all logistical arrangements are handled in a professional and organized manner. The Activity Facilitator will contribute to maintaining quality, accountability, and smooth field operations across all project interventions.

Key Responsibilities

  • Support the day-to-day implementation of project activities, including trainings, workshops, meetings, and events.

  • Assist in preparing activity plans and coordinating schedules in line with project timelines.

  • Ensure readiness of materials and supplies required for each activity.

  • Identify, contact, and follow up with beneficiaries to ensure their participation in planned activities.

  • Maintain clear and professional communication with participants before, during, and after activities.

  • Support participant registration processes and ensure accurate data collection.

  • Coordinate logistical arrangements for activities, including venue booking, preparation, and setup.

  • Ensure training venues are adequately prepared, including materials, equipment, and seating arrangements.

  • Manage attendance sheets, registration forms, and other required documentation.

  • Support procurement and distribution of materials needed for activities, in coordination with relevant departments.

  • Maintain accurate records of activities, including attendance sheets, participant lists, and activity reports.

  • Support the preparation of activity summaries and documentation as required by the MHPSS Officer.

  • Ensure all documentation is properly filed and shared in a timely manner.

  • Coordinate closely with the MHPSS Officer and other project staff to ensure smooth implementation of activities.

  • Liaise with trainers, facilitators, and partners to support activity delivery.

  • Represent Lotus Flower in a professional manner during field activities.

  • Ensure all activities are implemented in line with organizational policies, including safeguarding and code of conduct.

  • Promote a safe and respectful environment for all participants.

Qualifications and Experience

  • Bachelor’s degree in Psychology, Social Sciences or a related field.

  • Minimum 2 years of experience in supporting project implementation, preferably in NGO or humanitarian settings.

  • Experience in organizing trainings, workshops, or community-based activities is an asset.
