About Us
The Lotus Flower is a non-governmental organisation which empowers vulnerable women and girls so that they are safe, have opportunities to learn, the tools to become financially independent and have the freedom to lead change. We provide safe social spaces inside refugee camps and implement projects to help them rebuild their lives and earn a living. We run four women’s centres for the IDP, refugee and host community in Kurdistan

Our centres implement much-needed livelihood training, language courses, computer training, mental health support, fitness and health training, awareness sessions, and advocacy on women's rights and gender-based violence.
We aim to provide the foundation for women to rebuild themselves, their families, and their futures. As local implementers, we work at the grassroots level to get right into the hearts of communities, listening to local needs and employing local women to implement the programmes. Our fundamental belief is that women and girls are powerful drivers of change, and we provide the support they need to reach their full potential and rebuild their futures.
Project Assistant Overview:
The Project Assistant will support the Project Coordinator and Project Manager in the daily administrative, logistical, and operational tasks essential for the successful implementation of the Lotus Flower WPS Peace Centre project. This role will contribute to the smooth execution of the project interventions, which are planned to be implemented in coordination with Duhok University.
Duties and Responsibilities:
1: Ensure the implementation and monitoring of the project
· Participate with the project manager and project coordinator in drawing up the action plan, including setting the objective and activity timetable, in order to achieve the project results and follow up.
· Excellent understanding and previous proven experiences in working in women’s protection and women’s rights, especially those that align with Women , Peace, and Security 1325 Resolutions.
· Assist in organising project events, workshops, and training sessions, including handling participant registration, scheduling, and logistics.
· Prepare meeting agendas, take minutes, and ensure that meeting outcomes are documented and communicated effectively to all team members.
· Prepare with the project manager and project coordinator weekly work plans and follow up on the progress.
· Ensuring the quality of the project through reporting, follow up, results and context monitoring, lessons learnt and knowledge management, and tool development.
· Together with the PM and project coordinator, set objectives and specific and general indicators in order to assess and monitor the impact of the project and to reshape them if necessary.
· Manage project files, documents, and databases to maintain an organised and accessible record-keeping system
· Coordinate with trainers and facilitators to ensure all training materials, equipment, and logistics are ready .
· Distribute training materials and other resources to participants as needed.
· Gather participant feedback after each training session to assist in continuous improvement.
· Support the Project coordinator in preparing and disseminating project updates, invitations, and other communications to stakeholders.
· Work closely with Project Manager and project Coordinator to monitor the project indicators on a regular basis.
· Ensure that the monitoring and evaluation tools are used properly by the teams, and organise training if needed.
· Identify and share with the PM and Project Coordinator any technical problems faced, potential risks and proposed solutions.
· Supervise and follow the teams according to the daily / weekly tasks and staff planning.
· Work closely with the Project Manager to provide trainings, on-job recommendation and capacity building sessions to the team when needed.
· Ensure the organization of conducting performance evaluations of the staff and support them to set objectives.
· Ensure the team well-being.
· Follow-up and capacity building of the team and supervisors
· Undertake any other task assigned to him by the direct supervisor.
2: Logistic and Administrative needs
· Work closely with the PM and Project Coordinator to make sure that logistical, administrative and financial procedures linked to program implementation are followed.
· Follow up and ensure that all administrative documents of all staff members are handed over on due time.
· Collect weekly the logistic needs and prepare the PRs when requested.
· Ensure that the teams are regularly up to date with administrative requirements (leaves, …) in collaboration with the project manager.
3: Reporting, planning and communication
· Report on a daily basis to the PM and Project Coordinator.
· Participate in meetings, working groups, clusters, as per required by the PM
· Write the minutes of meetings when needed
Required Qualifications:
· Bachelor’s degree in Social Sciences, Development Studies, Peacebuilding, or a related field, or equivalent work experience.
· At least 3 years of experience in an administrative, assistant, or project support role, preferably in peacebuilding, community development, or women’s empowerment projects.
· Experience in designing and facilitating training sessions.
· Strong organizational and time management skills with an eye for detail.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with data entry and basic analysis.
· Fluency in Kurdish and good communication skills in English; Arabic language skills are an asset.
· Very creative, active, positive and flexible. Sense of humor is valued for this position.
· Good communication and reporting skills.
· Good social skills to establish relationships with communities.
· Strongly motivated by humanitarian work.
